Otto ("we", "us", "our") operates outbound.ottosoftwares.com and the Otto service. This policy explains what we collect, why, and the choices you have. We aim to collect only what we need to run the service.
1. Information we collect
Account data. Your email address, name, company, and billing details when you sign up or subscribe.
Campaign data. The website URL, sales context, and instructions you provide to Otto, plus the emails Otto drafts, sends, and receives on your behalf.
Usage data. Standard logs and product analytics (pages visited, clicks, device and browser info) to understand how the service is used.
2. How we use it
We use your information to operate Otto's core functions: sourcing leads, composing and sending outbound emails, following up, and reporting results. Additional uses include website operations, payment processing, customer support, and service enhancement.
Otto does not sell personal information and does not leverage campaign or reply content for training third-party AI models.
3. Sharing with service providers
We share data with vetted vendors necessary to deliver Otto: cloud hosting, email infrastructure, lead data enrichment, large language model providers, analytics, and payment processing. Each vendor agrees contractually to limit data use strictly to service provision.
4. Cookies and analytics
We use a small number of first-party and third-party cookies for authentication, preferences, and product analytics (for example PostHog). You may disable cookies through your browser settings.
5. Data retention
Account and campaign data remains accessible while your account is active. Following cancellation, we delete or anonymize your data within 90 days, except where we are required to retain it for legal, tax, or accounting reasons.
6. Your rights
Depending on your location, you may have rights to access, correct, export, or remove your personal data, and to object to certain processing. Email us and we will respond within 30 days.
7. Security
We employ encryption in transit, access restrictions, and least-privilege protocols. We will notify you promptly if a data compromise occurs.
8. International transfers
Otto is operated from the EU and the US. By using the service you understand that data processing may occur internationally with appropriate safeguards.
9. Changes to this policy
We may modify this policy periodically. We will notify you of material changes via email or in-product notification before they take effect.
